A great reunion is a great experience. Travel back to your old hometown, getting to see all those old classmates you wondered if they'd be there, participating in the city's homecoming parade representing a class and time that was special to you, going to the football game, socializing with classmates in an evening get together, going to a special activities and parties that have been planned just for you. A memorable weekend over all.
A great party is one where everything sort of flows naturally and to the guest, things just sort of seem to happen just as you'd expect a great party to: you arrive and everything is ready, a lovely clean place to have the party, plenty of just the right kind of music, plenty of space to meet with the other guests, a light dinner of excellant food, hosts that are truly concerned with your well being, and an evening of pleasant socializing with all those guests you'd hoped would be there. Afterward, you head for home with a huge number of memories of having a great time.
Anyone who has ever hosted a party knows that a party dosen't just happen because you want it to. There are hundreds of details to be addressed, accounted for, and placed into action so that it all goes off like clockwork. Now, multiply that threefold for a Parade, a Friday evening get together, a Saturday activity, and then a Saturday evening finale! And THAT, boy's and girls, is where it's ALL made possible by your Reunion Planning Committee. And who makes up that committee? Those classmates that want you to have the best time possible for two or three days, are willing to do all the "behind the scenes work", and all you have to do is be there! And they all aren't just the locals, they come from all over the state and some travel regularly from as far as Arizona just to attend the meetings to see that you have a great time.
Starting a year to six months before the planned reunion this group does so many things that we take for granted such as:
Finding out when homecoming will be that year
Trying to maintain an accurate address and email contact sheet to notify everyone
 Locate those "lost" classmates
Send advance letter reminding everyone that it's a homecoming year (write the letter, make copies of the letter, address envelopes, place stamps, mail)
Arrange for float (locate a trailer, find something to pull it, get the hay, remember a ladder, decorate the trailer, additional air in the tires for the weight, arrange for storing the trailer before the parade and arrange to get it to the parade area.) After the parade, reverse everything you just did.
What to do between parade and evening get together (who, what, where, how, arrangements, cost, who cleans up afterward?).
Friday night... what will we do, where will we do it, what time will we do it, who's doing it, and what will we need to do it, who cleans up afterwards, how much will it all cost? Who needs to do what in order to get it done? Do we rent a space or hope someone offers their house? If we rent.. where, how large a space, insurance ($1,500 a night) , food (cost and amount). Secure a seating section at the ball game for those wanting to go (how many?)
What should we do Saturday afternoon? (Who, what, when, where, arrangements, cost, who cleans up afterward?)
What should we do Saturday evening? (Who, what, when, where, arrangements, cost, who cleans up afterward?)
Determine the "Catch 22 Factors": How much food, drinks, ice, space, seating will we need when we don't know how many will be attending each activity.... How much to charge everyone when we don't know how many will attend or how much supplies we'll need? Who pays for all this if not enough show up?
Write, copy, post and mail second letter giving details of activities planned, cost to attend, maps to get there if needed.
Collect the monies and keep the books, pay the debts, and hope that it breaks even.... knowing that quite a few will fail to let you know they're coming. They never have a handle on how many will attend until after the weekend.
Work behind the scenes on Friday and Saturday to make sure everything gets done smoothly, take care of all those unanticipated emergencies, make sure everyone has a good time.... including themselves.
So don't let the group fool you by saying all they do is socialize at the meetings. They are a hard working bunch with one thing on their minds...... making this the most enjoyable weekend possible for all of us.
THANKS!!!!
